Take group visit enquiries
Turn on the group form, reply to organisers and keep each enquiry up to date.
Last checked 10 October 2026
Where to find it: turn the form on under Tickets → Selling settings. Handle enquiries under Tickets → Group bookings, or console.parkstack.net/group-bookings.
Before you start: group visit enquiries are off by default. An owner can turn them on. Owners and editors can handle the enquiries that arrive. Decide who will watch the park’s Branding email and reply to organisers.
An enquiry is not a booking or a payment. It does not reserve tickets or capacity. Agree the visit and take payment outside the enquiry before marking it booked.
Steps
- Open Tickets → Selling settings as an owner and find Group visit enquiries.
- Tick Accept enquiries for groups over 20, then choose Turn on enquiries. This adds a group-enquiry link to the public tickets page while the online ticket shop is open.
- Watch the park’s Branding email for a message when an organiser sends an enquiry. If that address is blank, Parkstack emails the park’s first owner instead.
- Open Tickets → Group bookings and choose the organiser’s name or organisation.
- Read Visit request and Organiser, then choose Reply by email to discuss availability, price and payment with them.
- Choose In progress under Status while your park is speaking with the organiser.
- Add a short update under Internal notes so another colleague knows the price discussed and the next action. Do not copy medical details or unnecessary personal details here.
- Choose Booked only after the visit has been agreed outside the enquiry, or Closed if it is not going ahead.
- Choose Save changes.
What guests see
Guests planning for more than 20 people can choose the group link from your tickets page. On Riverside Adventure Park’s example form, they enter the group size, preferred dates, contact details and practical requirements, then choose Send group enquiry.
The form tells them they will not be charged and that it does not reserve capacity. After sending it, they are told that the park will review the details and contact them about availability and payment.
Things that stop it working
- The group form is not on the website. Check Accept enquiries for groups over 20 is on. The form also stays hidden while the online ticket shop is closed.
- Nobody saw the new enquiry email. Check the email address saved in Branding and make sure someone monitors it. If it is blank, check the first owner’s sign-in email. The enquiry still appears under Tickets → Group bookings.
- The organiser thinks the visit is booked. Reply clearly that the form was an enquiry only. Agree the booking and payment with them before choosing Booked.
- You want to stop new enquiries. Untick Accept enquiries for groups over 20 and choose Hide enquiry form. Existing enquiries and notes stay under Group bookings.
