Take a group booking
Book a school or coach trip, hold the places, and let the organiser pay by card from a link.
Last checked 29 October 2026
Where to find it: Tickets → Orders, then New group booking, or console.parkstack.net/orders/group/new. From a group visit enquiry, choose Make a booking from this to start with the organiser's details filled in.
Before you start: owners and managers can make group bookings. Only an owner can set a group price, add free places or go over a day's ticket limit. The organiser pays online through your bank account's Stripe connection, so it needs to be connected under Park settings → Bank account.
Steps
- Choose New group booking.
- Under The group, enter the School, company or group, the Organiser's name and the Organiser's email. The payment link and the tickets go to that email.
- Under Tickets, enter How many of each ticket. Tickets kept off your website can be booked here too, so you can keep a "School pupil" ticket just for groups.
As an owner, you can also enter a Price each (£) for the group, and Free places, for example one teacher free for every ten pupils. Free places are listed on the booking as free tickets.
- If any ticket needs a date, choose the day under Visit day. Each day shows how many places are left.
- Under Payment, check the Pay by date. It starts a week from today, and can be up to 28 days away but not after the visit day. The places are held until the end of that day.
- Add a Note to the organiser (optional), such as arrival time or where the coaches park.
- Leave Email the organiser the payment link now ticked, then choose Make the booking.
If the booking would go over the day's ticket limit, Parkstack says by how much. An owner can book it anyway if the park can take the group; anyone else needs to choose another day or ask an owner.
While it is waiting to be paid
The order shows Awaiting payment in the Orders list, with its pay-by date. Open it to:
- Send the payment link again if the organiser cannot find the email.
- Change the pay-by date to give the group more time.
- Cancel booking if the trip is off. The places are released at once. The organiser is not emailed, so let them know yourself.
The day before the pay-by date, Parkstack sends the organiser a reminder. If it is still not paid when the date passes, the booking is cancelled, its places are released, and Parkstack emails your park to say so.
What the organiser sees
The email shows the booking, the total and the pay-by date, with a button to pay. It opens a page on your website showing the booking. From there they pay by card on Stripe's secure page, and the money goes to your bank account like any online ticket sale. As soon as it is paid, the order shows as Paid and they are emailed one code for the whole group. Each person's own ticket is on the ticket page too, if they would rather hand them out.
One code for the whole group
At the gate, scan the group's code and the Scanner offers Admit all for everyone on the booking still to come in today, or Choose who to let in some of them. Scanning it again later lets in whoever is still to come. Individual tickets still work too.
To print the code, open the paid booking and choose Print the group sheet. It shows the group's name, the visit day, the code and how many tickets it covers.
Things that stop it working
- Only an owner can change a group price. Ask an owner to make the booking, or book it at the normal prices.
- The day is full. Choose another day, or ask an owner to go over the limit.
- The organiser says the link no longer works. The pay-by date has passed or the booking was cancelled. Make a new group booking.
- The payment page will not open. Check your bank account is connected under Park settings → Bank account.
