Sell annual passes

Sell individual and family passes that name each holder, with a photo the Scanner shows at the gate.

Last checked 31 October 2026

Where to find it: Tickets, then add a ticket and choose Annual pass under What is it?, or console.parkstack.net/tickets/new.

Before you start: only owners can add or change passes. Annual passes are part of the Professional plan; without it you can still open a pass, take it off sale and scan passes already sold. A pass is chosen when it is first saved: a ticket cannot become a pass later, nor a pass a ticket.

Set up a pass

  1. Choose Annual pass under What is it?, then give it a Name, such as Family annual pass.
  2. Enter the Price of one pass. The price is for the whole pass, however many people are on it.
  3. Under How long it lasts, choose:
  • From the day it is bought, with the number of Months. 12 months bought on 30 October is valid until 29 October the next year.
  • From the first visit, so a pass given as a present does not start until it is first used. It must be first used within 12 months of being bought.
  • Season dates, with a First day and Last day that every pass shares.
  1. Under Who it is for, set each Group with At least and Up to. An individual pass is one group, Adult, at least 1 and up to 1. For a family pass, choose + Add a group: for example Adult at least 1 up to 2, and Child at least 0 up to 3. Up to 10 people fit on one pass.
  2. Under Days it cannot be used, add any days the pass does not cover, such as fireworks night. Guests see them before they buy.
  3. Under Renewals, set a Renewal price if renewing should cost less than buying new (leave it blank for the normal price), and choose when to Remind buyers to renew: 60, 30, 14 or 7 days before a pass ends, or on the day it ends.
  4. Under Photos, choose Needed to ask guests for a photo of each person, or Not used.
  5. Choose Save & publish.

How guests buy and add photos

On your ticket shop, a guest chooses the pass and types each person's name under Who is it for?. At the box office, staff type the names under the pass in the order.

Each person on a pass is their own pass with its own QR code. The ticket email has a Your passes button that opens the guest's pass page, where they choose Add a photo for each person and can show each pass full screen. Once a person's pass has been used, its photo can only be changed at the park.

Renewing a pass

Renewing opens 90 days before a pass ends and closes 60 days after. A renewed pass keeps the same people and their photos, and starts the day after the old one ends, so nobody loses days by renewing early. A pass that has already ended starts again on the day it is renewed. A season pass takes the season dates you have set now.

  • Online: each reminder email has a button to the guest's pass page, where they choose who to renew and pay by card. They can renew from the pass page at any time in the window too.
  • At the box office: open the guest's order and use Renew passes. Tick who is renewing, choose how they paid, and the new passes go to the guest's email if they gave one.

The price is for the whole pass, as when buying, even if only some of the people renew. Passes can only be renewed while the pass is on sale.

At the gate

Scanning a pass shows the holder's photo and name. Check the photo matches before letting them in. A pass comes in once a day on every day it is valid, and with Guests can leave and come back on the same day ticked it can come back in that day.

If there is no photo yet, the Scanner says Check the name. With the holder's agreement, choose Take a photo to add one there and then. On the order page, owners and managers can Add a photo or Replace photo for each person too.

The Scanner refuses a pass on a day you set aside, before it starts and after it ends. With no signal, the Scanner shows names but not photos.

Photos and privacy

Photos are kept privately: they are never in Photos & files or at a public web address, and only your staff see them. Parkstack deletes them 30 days after a pass ends or is refunded. A copy of a guest's data includes their photos, and removing a guest's details removes them too. The buyer's details and holders' names are kept for 24 months after the passes end, like any other booking.
