Answer a guest’s request for their data

Find, copy, correct or erase the details your park holds about a guest.

Last checked 11 October 2026

Where to find it: choose Tickets → Orders, choose Reports and downloads, then choose Guest data requests, or open console.parkstack.net/orders/guest-data.

Before you start: only an owner can handle guest data requests. Check the request really comes from the guest. A request from the email address they booked with is usually enough, and the page reminds you to answer within 1 month. Ask for no more proof than you need.

Never put a guest’s email address in a web address, including the browser’s address bar, a bookmark or a link. Enter it only in Guest’s email address on this page. This keeps it out of browser history and links that may be shared.

Find what the park holds

  1. Enter the address the guest booked with under Guest’s email address.
  2. Choose Find.
  3. Check the orders and group visit enquiries Parkstack finds. Each order shows which details it holds and whether a ticket can still be used.

The search includes older orders. If nothing is found and the guest paid at the box office without giving an email address, ask for their order number and find it under Tickets → Orders instead.

Give the guest a copy

  1. Choose Download a copy for the guest under Answer the request.
  2. Send the downloaded file by replying to the guest’s request. It includes their orders, tickets, refunds and group visit enquiries held in Parkstack.
  3. Delete your downloaded copy when you have sent it. The file contains the guest’s personal details.

The file explains that Parkstack does not store card details. It also leaves out records held separately by payment and email providers, anything your park keeps outside Parkstack and anonymous website visit figures.

Correct their details

  1. Choose the order number in the results.
  2. Choose Correct the guest’s details under Guest.
  3. Correct Name, Phone or Postcode, then choose Save.
  4. Enter the corrected email address under Guest email in Ticket email.
  5. Choose Update email and send tickets, check the old and new addresses, then choose Update email and send tickets again.

Changing the email also sends the usable tickets to the corrected address. This helps the guest use the right ticket link without you making a separate copy.

Erase their details

  1. Return to Guest data requests and find the guest again if needed.
  2. Tick I have checked this request comes from the guest themselves.
  3. Choose Erase their details.
  4. Read what will be removed, then choose Erase their details again.

Parkstack removes the guest’s name, email, phone and postcode from every order that can be erased. It deletes their group visit enquiries. Ticket counts and money stay in the park’s reports without their details, so the accounts still add up. The change cannot be undone, and backups containing the details are deleted within 35 days.

An order is kept when one of its tickets can still be used. Refund the ticket, or wait until after the visit, then find the guest again and erase it. This stops a valid ticket link disappearing before the guest has visited.

What guests see

A corrected email address receives the usable tickets again. Erasing an order’s details removes its public ticket link, but Parkstack only allows this once no ticket on the order can still be used.

Things that stop it working

  • Nothing is found for the email address. Check the address with the guest. For a walk-in order with no email, find the order number under Tickets → Orders and use Guest privacy request on that order.
  • An order says Ticket can still be used. Refund it, or wait until after the visit. Parkstack keeps the details until the ticket can no longer admit somebody.
  • Erase their details is unavailable. Tick I have checked this request comes from the guest themselves. If every order still has a usable ticket and there are no group enquiries, there is nothing Parkstack can erase yet.
  • The email cannot be corrected. Tickets can only be sent again for a paid order that has not been fully refunded.
